Executive Assistant to the Rabbi and Executive Director:

The Executive Assistant to the Rabbi and Executive Director is a full-time position.
(Monday – Thursday 9A-5P; Fridays 9A-3P; some nights and Sundays). This person serves as the primary administrative support person for the congregation and the gatekeeper for our senior professionals. He/she is responsible for providing the first impression of the synagogue for visitors and callers. He/she will greet every visitor and caller with a positive, can-do attitude. In addition, he/she will handle administrative duties as set forth below and provide assistance to the Executive Director and Rabbi. On occasion he/she will aid the President and other volunteers in execution of their efforts at the direction of the Executive Director and Rabbi. He/she has a primary report to the Executive Director and secondary report Rabbi.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

A. Rabbinical Support

  1. Coordinate Rabbi’s interface with congregants and the community, schedule appointments, B’nei Mitzvah meetings, teaching schedule, and other administrative needs, as requested by the Rabbi,
  2. Maintain the Rabbi’s pulpit notebook (including updated Refuah Shelema list, Meldado/Yahrzeit list, and other information), Aliyah list, and other information as requested by the Rabbi for inclusion in his pulpit packet each week and other lists from time to time,
  3. Provide support such as rosters, email lists and various necessary supplies regarding educational and synagogue programs and classes,
  4. Send the Rabbi’s synagogue-related correspondence and assist with assorted follow-up, as requested,
  5. Order, maintain and create all life-cycle related certificates and documentation from established sources including, but not limited to, ketubot, brit milah certificates, baby naming certificates, b’nei mitzvah certificates, and others at the direction of the Rabbi,
  6. Order all memorial plaques and Tree of Life leaves for placement in synagogue facility,
  7. Update all High Holiday honors information and other materials to be distributed to congregants including, but not limited to Aliyot, Mitzvot, service schedule, and High Holiday Booklet at the direction of the Rabbi,

 

B. Synagogue Support

  1. Assign and supervise all work to volunteer staff, including but not limited to, congregational mailings and filing, as needed,
  2. Edit and update OVS weekly eblast, weekly printed bulletin, and other congregational correspondence (digital and hard copy) as directed by the Executive Director or Rabbi,
  3. Send congregational e-mail notices on members’ births and deaths,
  4. Maintain congregational e-mail addresses within the congregation’s database,
  5. Ensure all life cycle gifts and appropriate certificates are prepared and placed on the pulpit in advance of special events.
  6. Assist congregants on the phone or in person with account inquiries and updates to account information,
  7. Prepare prospective/ new member information packets and welcome bags.

 

C. General

  1. Serve as the gatekeeper for both the Rabbi and the Executive Director,
  2. Create flyers and event registration pages for upcoming events at the direction of the Executive Director and/or Rabbi.
  3. Share digital information on upcoming events to Congregational Facebook page, Federation Virtual Calendar and other digital platforms as appropriate to increase event attendance.
  4. Attend Staff Meetings
  5. Other duties as assigned by the Executive Director and/or Rabbi.

 


Job Requirements:

  1. Excellent verbal and written communications skills
  2. Proficiency with Microsoft Office Suite, Google Apps, Facebook, Instagram
  3. Must be able to multi-task and must possess exceptional organizational skills
  4. Ability to work independently and receive a minimum of supervision and guidance
  5. Previous experience with ShulCloud and other cloud-based database systems and in website management (Word Press or similar) a plus
  6. Previous knowledge of Jewish lifecycles preferred

 


Compensation and Benefits:

  1. 1. $40,000 annually
  2. Paid time off
